Xtreme Hydrovac Services Ltd. ("Xtreme Hydrovac", "we", "us", or "our") operates the dispatch, job-tracking, and client portal platform available at xtremehydrovac.ca (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service, you agree to the practices described here.
1. Information We Collect
- Account information — names, email addresses, phone numbers, company names, and login credentials for administrators, drivers, and client companies.
- Job and dispatch data — job tickets, addresses, purchase orders, work orders, schedules, site contacts, photos, and status history.
- Location data — GPS coordinates from driver devices and connected fleet telematics (Motive ELD) used to provide live tracking and ETAs.
- Financial data — when you authorize a connection to QuickBooks Online, we access accounts receivable balances, invoice status, and aging on a read-only basis. We do not create, edit, or delete anything in your QuickBooks account.
- Communications — contact form submissions, credit applications, and SMS notifications sent through our messaging provider.
2. How We Use Information
- To dispatch crews, manage jobs, and provide real-time tracking to clients.
- To send job status updates and ETAs by SMS and in-app notification.
- To display accounts receivable and credit information to authorized users.
- To operate, secure, and improve the Service.
- To comply with legal and regulatory obligations.
3. QuickBooks Online Data
Our integration with Intuit QuickBooks Online is strictly read-only and limited to the accounting scope. We use it solely to show real-time receivable balances, invoice status, and credit usage to authorized administrators and the corresponding client company. We retain only the data necessary to display this information and the secure tokens required to maintain the connection. You may disconnect the integration at any time, after which we stop accessing your QuickBooks data.
4. How We Share Information
We do not sell your personal information. We share data only with service providers that help us operate the Service (such as hosting, mapping, SMS delivery, fleet telematics, and accounting integrations), and only as needed to provide those functions. We may disclose information when required by law or to protect our rights, safety, and property.
5. Data Security
We use industry-standard safeguards to protect your information, including encrypted connections and secure credential storage. No method of transmission or storage is completely secure, but we work to protect your data and limit access to authorized personnel only.
6. Data Retention
We retain information for as long as needed to provide the Service and to meet legal, accounting, and reporting requirements. Completed jobs move to history and may be archived. You may request deletion of your data as described below.
7. Your Choices
You may request access to, correction of, or deletion of your personal information by contacting us. You may opt out of SMS notifications by replying STOP. Disconnecting a third-party integration stops further data access from that provider.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date above.
